FileScan Services was registered with the Dept. Consumer Affairs and started trading on the 13th October 1992, as Queenslands first and  to date, only On-line Imaging bureau outsourcing service.

Our operation consists of eight professionally trained permanent staff members, including two working partners who between them, have over 20 years experience in Imaging, Microfilming and Records management. Staff are continually trained in updated methods and new technology that has an influence on our industry. FileScan specialises in the following services :

(1) Digital Imaging the complete capture, indexing and conversion of backlog files, as well as implementing and ongoing archival  imaging  strategy to clients  requirements. CD ROM/DVD & Hard Drive database spanning.

(2) COLD Scan is an easy-to-use, yet powerful, storage and retrieval solution. This application allows us to extract data from a computer report and directly import that data into a customised database

(3) Large Format Plan Scanning, for the conversion of all large size drawings etc. up to A0. 

(4) OCR Text Conversion, we have the facilities to be able to scan your documents, and save as an image file, then using our OCR engine, convert this image to computer data, thus saving time and expense in retyping documents.

Storage and retrieval of both older files and records, as well as active files, has always posed a logistical and financial headache.  Microfilming and manual storage files are slow, single user systems, that are rapidly becoming obsolete.

FileScan Services and modern technology provide the answers to all storage and retrieval requirements, by utilising the proven technology of today:  Electronic Document Management,  as approved by the Australian Taxation Office, Corporate and Government authorities etc.

Your files, documents reports etc. are collected, prepared, indexed and  converted to permanent and legally exact "Image files",  through the use of high speed scanners. Up to 24,000 document images can be stored, together with the latest Alchemy storage, search and retrieval software on one 650Mb CD disc and  retrieved from the disc in a matter of seconds. OCR can also be incorporated during scanning. The original paper documents can then be reinstated for return, or no charge security shredding arranged. This service allows you to have all of your documents, files, and computer output etc. regardless of size, confidentially converted to permanent digital files, in a controlled bureau environment.

Surprisingly, the cost for conversion, indexing and storing file information to CD ROM disc, and to provide a super fast search and retrieval solution, is less expensive and infinitely faster than current methods including Archive storage, Microfilming etc.

DataGrabber® is a front-end module for Alchemy Build that parses and imports any ASCII data stream (Print, COM, reports or other ASCII files) directly into Alchemy profile fields at very high speeds. COLD Scan

Moving computer reports to recordable and portable CD ROM disc has become a cost-effective method for businesses to archive and distribute hundreds of megabytes of data on a medium that can quickly and easily be searched, To this end more businesses are choosing FileScan's COLD Scan software & Bureau service, the business application for CD recording, with full text indexing and industry leading retrieval performance.

COLD Scan is an easy-to-use, yet powerful, storage and retrieval solution. This application allows us to extract data from a computer report and directly import that data into a customised database. COLD Scan gives you the flexibility to choose the data to extract, and to describe exactly where you want that data to be placed. Unlike templates with rigid predetermined guidelines, COLD Scan is fully configurable enabling the software to handle complex and even, non-uniform reports.

The process of building an updatable database via COLD Scan begins with the production of  an ASCII text, COM, or print file, normally output from a database inquiry, Once the file has been downloaded to a PC, COLD Scan can then be configured to perform two operations on the file. First, to break the file into logical records each of which becomes a COLD Scan  document with an attached profile card. Second, to extract designated data from each logical record and place it within pre determined  profile fields.

The data extraction process is controlled by a definition file which describes to COLD Scan the layout of a data file. A definition file is an ASCII file created by FSS using a customised MS-DOS file editor. Each definition file contains a series of  statements. These statements describe both the physical layout of a data file as well as its logical structures Through these statements, COLD Scan is informed of what constitutes a logical record and which portions of each logical record are to be extracted as profile information

Once these operations are completed, the COLD Scan indexer creates a database with fielded data retrieval using the extracted data, plus full text searches of the entire report content. The index and retrieval software for DOS and Windows are recorded to the CD, along with the report in its original output format. Users can search for individual records, then print or FAX the search results, or copy them to a hard drive.
