What is Digital Imaging? The conversion of Paper/Microfilm documents into an archival digitised image format for increased desktop retrieval speed and space reduction. How does it work? Your documents are scanned using high speed scanners, checked and indexed into a database. Search software and your database (including scanned documents, OCR, Text computer data etc.) are stored on CD ROM/DVD discs. Our search engine makes it possible to find and display your documents instantly. Imagine a filing system that reduces space and allows you to find documents with your computer using the same search methods that you now use. Now with digital imaging you can take data management even further. If you choose to have your documents converted using our OCR engine, the converted information on the individual scanned pages is now used to search and retrieve those documents.
How many images can I fit on to one CD disc? One CD can hold 20,000-30,000 images/pages. It varies on the density of each page.
What about sensitive & confidential documents? All documents are treated as confidential at FileScan, however we have no hesitation in signing a confidentiality agreement with our clients, and will include a Records Certification on your CD database if necessary. Security passwords of your choosing can be provided to prevent access by unauthorised personnel.
What happens if my system crashes? Have I lost my data & files forever? No! Because all your documents are stored on, and accessed from, your DVD/CD Rom disk(s) which are Read Only and secure, you are unable to delete any information on the disk.
Can the documents be altered or changed in any way? No! Your documents are permanently stored. This maintains the file's integrity and legality. Once they have been permanently stored, they cannot be altered. However, you will be able to email, print out or copy to another file etc, either a portion of, or the whole of your document.
Can I store some data on CD now and then add more later? Yes. FileScan's award winning Records Management Software has Disc Spanning & multi session capabilities which enable us to add to and delete from your database. |
